Situation
When UF Health opens a new building or moves a department, the PMO plans its technology on a PDF floorplan. In walkthroughs, the PM marks up the PDF with equipment and notes, then counts everything and types it again into an estimating workbook and a room-by-room device register. The same facts live in three places, and the estimate’s overview goes to leadership for approval.
Task
Build a prototype where each requirement is captured once, on the floorplan, and the estimate, device register, and deployment tracking come from it, with no dependence on cloud services.
Action
- Made the floorplan the main surface: zoom centered on the cursor; fit to the floor, the width, or a room; room markers that open into individual placements as you zoom in; and a drawer with each room’s full equipment breakdown.
- Read room numbers, names, and network-drop IDs off the drawing with bundled OCR, then traced each room from the walls around its label. Proposed rooms and corrections wait for review before anything changes.
- Modeled equipment as bundles that expand into components, included accessories, managed endpoints, and service lines, so a dual-monitor workstation becomes the right PC, stand, and monitor variants.
- Generated the estimating workbook and device register as an XLSX file, and the estimate overview as a PDF, from the same data.
- Added network ports that show as available or assigned, a five-step project checklist, and plain-language feedback such as “7 PCs don’t have a network port assigned.”
- Set up exactly three roles (User, Project Manager, and Manager), programs that group projects with combined totals counted once, and a members page for every project.
- Shipped it as one self-contained HTML file built with esbuild: React, PDF.js, and the OCR engine are embedded, so it runs offline in Chrome or Edge and loads nothing from the internet.
Result
- Prototype v4 passes 98 automated tests, including OCR end to end and room identification on all five supplied drawings, plus 83 browser checks at desktop size, in a short window, at 150% and 200% zoom, and at phone width.
- Saved workspaces from v1 through v3 migrate on load, and parity tests prove v3’s calculations and exports are unchanged.
- Next: reconcile the PMO’s real estimating workbook, then move to a FastAPI and PostgreSQL backend with approved UF Health sign-in.
