2,500+
devices brought onto the main MDM
Situation
UF Health grew by acquiring new campuses and organizations, and each one typically arrived with its own Zebra Android devices, and other devices, on an entirely different MDM, application stack, and Android version. Clinical staff rely on these devices to communicate, so the differences made them harder for the enterprise to secure and support, and harder for clinicians who travel between locations, since the apps weren’t consistent from one site to the next. More than 2,500 devices weren’t on UF Health’s main MDM, Workspace ONE.
Task
Standardize Zebra device hardware, operating systems, communication platforms, security, application stack, and MDM on the best available tools across every campus: decide with leadership which apps to keep, remove, or add, acquire the licenses, and plan the migration of every device still on a different MDM.
Action
- Pulled device reports from each MDM and cleaned the data. Many devices had no name, so I named them to UF Health’s naming standard.
- Worked with informatics managers in each region to confirm the device list and the departments that own each device, then planned the best order to move departments.
- Reviewed the app stack with leadership to decide which apps to keep, remove, or add, and acquired the licenses.
- Coordinated with nursing managers to schedule IT technicians onto each unit to unenroll devices from their old MDM and enroll them in Workspace ONE and Azure.
- Moved clinical units from TC5-series devices to Zebra HC50s and from legacy applications to Zebra SYNC communication tools, and set up NFC badge tap sign-in.
- Piloted with two medical units at one hospital, gathered feedback, and planned the phased rollout from it.
- Ran the program in Scrum, with recurring meetings to plan and track the work across teams, and built a weekly KPI report so leadership could follow its status.
- Led cross-functional teams, end-user communication, and the decommissioning of legacy systems.
Result
- Brought 2,500+ mobile devices onto one MDM, OS version, application stack, and security baseline.
- Badge tap sign-in, new to UF Health: clinicians tap their badge on the phone to sign in to Teams, Outlook, and everything else they need, with no PIN or passcode to slow them down in a fast-paced clinical setting.
- Clean device records, with standard names and confirmed owning departments.
- Positive pilot feedback cleared the way for phased rollouts across the enterprise.
- Leadership tracked progress through a weekly KPI report.
